The ABCs of Time Management

The ABC method is a proven time management technique that helps busy professionals categorise and prioritise tasks with clarity and purpose. For practice managers, who often juggle everything from staffing and compliance to patient issues and operational challenges, this simple approach can make a significant difference in managing daily pressures.

The ABC method works by organising tasks based on their urgency and importance. It’s especially useful in fast-paced healthcare environments, where priorities can shift quickly, and unexpected demands frequently interrupt planned work.

Start by Listing Your Tasks

To get started, begin by listing everything you need to accomplish. As a practice manager, this could range from addressing a staff rota issue, managing patient complaints, overseeing budgets, preparing for inspections, or coordinating with external providers. Expect your list to be long and varied and consider creating separate lists for different areas of responsibility, such as clinical operations, administration and facilities management.

Categorise by Priority: A, B, and C

Once your list is complete, go through each task and assign it to one of three categories. Category A includes tasks that are both urgent and important – those that require your immediate attention due to their impact. Category B includes tasks that are important but not urgent, such as conducting performance appraisals, or developing long-term staffing plans. Finally, Category C tasks are lower-priority items that may not need your direct involvement or immediate attention.

Decide What Needs Your Direct Attention

With your tasks categorised, the next step is to reflect on which of them require your personal attention. Consider which tasks must be completed by you, which can be delegated to colleagues, and which could be handled collectively by your team or by another department. This helps you not only manage your time more effectively but also fosters a culture of shared responsibility and empowerment within your practice team.

For practice managers, the unpredictability of each day can often lead to reactive working. The ABC method provides a structured way to take back control of your time and focus your efforts where they will have the greatest impact.
